Why do CRE brokerages need a call scorecard?

Owner and investor conversations are few and expensive. A new broker who pitches the marketing plan before learning the owner’s objective, or who argues with “we already have a broker,” burns a relationship the firm may not get back for years.

Most managers coach those calls from memory, or not at all, because there is no time to listen to every one. A written scorecard fixes the standard: everyone agrees in advance what a good owner call includes, and feedback points to a specific moment instead of a general impression.

The template below is an illustrative example. It is not any customer’s scorecard and not an industry standard. Change the criteria, weights, and thresholds to match your firm’s process.

What does the CRE scorecard template include?

Score each criterion from 1 (missing) to 5 (natural and complete). Weighted points = score ÷ 5 × weight. The weights add up to 100.

Example thresholds: 85 or more is a strong call, 70 to 84 is solid with one coaching focus, and below 70 means practice the lowest weighted row this week.

How should managers score each criterion?

Opener

A strong opener earns the next two minutes. Listen for a reason this owner was called and a question, not a monologue about the firm.

Discovery: objective and timing

This row carries the most weight. Did the broker learn what the owner is trying to achieve, when, and who else has a say? “What would have to be true for you to consider selling in the next year?” is a 5. Jumping to the marketing plan is a 1.

Objection diagnosis

Score the ask-first habit. When an owner says “we already have a broker,” a strong broker asks how that relationship is going and what a second look would need to show, instead of criticizing the incumbent.

Listening

Count interruptions and check who talked more. Brokers who reflect back what they heard score higher than brokers who wait for their turn.

Talk-track adherence

Fee, exclusivity, and process language is where firms most want consistency. Score whether the broker used the approved wording rather than improvising.

Market talk discipline

Score down any invented comp, value, or “I have a buyer” claim the broker cannot support. Brokers remain responsible for every number they share.

Meeting ask

A strong call ends with a date and a purpose. “I’ll send you some info” scores a 1; “Tuesday at two, with your partner, to walk through the rent roll” scores a 5.
