Why score hearing aid consultations at all?
Most patients wait years before their first hearing consult, and many leave it unsure what they heard or why one option was suggested over another. A consult that rushes to a device, or that leaves the patient confused about the choices, is a worse experience whether or not they buy.
A written scorecard gives owners and lead providers one shared definition of a good consult. It makes coaching specific: a manager can point to the moment the provider explained the audiogram, or skipped a question, instead of a general impression.
The template below is an illustrative example. It is not any clinic’s scorecard and not an industry standard. Change the criteria, weights, and thresholds to match your clinic’s consult process.
What does the hearing consult scorecard template include?
Score each criterion from 1 (missing) to 5 (natural and complete). Weighted points = score ÷ 5 × weight. The weights add up to 100.

Example thresholds: 85 or more is a strong consult, 70 to 84 is solid with one coaching focus, and below 70 means practice the lowest weighted row this week.

How should managers score each criterion?
Lifestyle discovery
This row carries the most weight with recommendation clarity. A strong provider learns the specific places hearing gets hard before naming any technology. “Mostly the TV” is where discovery starts, not where it ends.
Results in plain language
Listen for whether the patient could repeat what the results mean for their daily life. Jargon, or a chart with no connection to the restaurant they mentioned, scores low. So does alarming language meant to create urgency.
Recommendation clarity
The recommendation itself is the provider’s clinical judgment, and the scorecard does not grade it. What it grades is whether the provider explained it: which of the patient’s situations it helps with, and why.
Every option explained
A premium level is the right recommendation only when the patient’s needs call for it. Score whether the provider explained what each level would and would not do for this patient, including a lower one, and the cost of each, so the patient is choosing rather than being steered.
Checked understanding
Teach-back is the habit to reward: “Just so I know I explained it well, which option sounds right to you, and why?” A patient who can answer is making an informed choice.
Next step the patient chooses
A strong consult ends with a clear next step the patient picked, and “I’d like to talk to my husband first” with a dated follow-up is a 5. Pressure to decide today scores a 1.
What should never be on a hearing consult scorecard?

Whether the patient bought, or which device they chose. Outcomes depend on the patient’s needs and budget, not only on the provider.

The clinical decision itself. Testing, fitting, and device selection stay with the licensed provider.

Rewards for urgency or fear. Invented deadlines, worst-case warnings about decline, and discounts that do not exist belong on your clinic’s “never say” list, and scorecards should flag them.

Anything about who the patient is rather than what they said they need.
How do you calibrate the scorecard with your providers?
1.
Pick three recent consults, recorded under your patient-notice policy, or three roleplays.
2.
Have the owner and lead providers score them independently with the template.
3.
Compare row by row. Where scores differ by two points or more, rewrite the “what a 5 looks like” description until everyone agrees.
4.
Adjust the weights to your clinic. A clinic that sees many first-time patients may weight results in plain language higher.
5.
Re-score one shared consult a month to keep everyone aligned.
