Confirm the date or season, rough guest count, and whether the venue can hold it. Then ask what the couple pictures for the day and who else is involved in the decision. Budget. “Do you have a rough budget for the venue and catering?” Ask it plainly. Most couples are relieved to talk about it.

Who decides. “Who else will be part of choosing the venue?” Parents, a planner, or a partner who could not join will all shape the decision.
Ask what they picture
After the checks, ask, “When you imagine the day, what do you see?” Listen for the details that matter to them: outdoor ceremony, a long dinner, a late party, a relaxed feel, or a family tradition.
Repeat one or two of those details back. It shows you listened, and it gives you what to show them on the tour.
Answering “how much is it?”
Give a real range for their date and guest count, and say what it includes. Dodging the question often loses the couple to a venue that answered it.
If the range is above what they said, say so kindly and offer options: a different day of the week, a different season, or a smaller package.
Close the call with a tour
If the fit is there, offer two specific tour times: “Could you come Saturday at 11 or Wednesday at 5?” Ask them to bring everyone who will decide.
Send a short confirmation the same day with the time, address, parking, and the details they mentioned, so the tour starts where the call left off.
